Helios sat in with Luke Whitehead, Human Resources Manager of Summit Public Schools in Redwood City, CA to hear just how their experience is with using Helios. Luke and his team have been Helios users for the past two years, enjoying the Onboarding, Core system and interfacing features. Before Helios, Summit was dealing with processing challenges that were spreading the HR department thin; high turnover, extra duty and staff frustrated with inefficiency.

Q: What would you say to someone who’s considering adopting Helios?

Having a school-specific HR/Information system and Finance/Payroll solution, all bundled into one, is incredibly valuable. I think you can’t go wrong with Helios due to their customer service and flexibility to work with you to ensure the current systems you’re using integrate seamlessly into Helios.

 

Q: What tools and resources have helped Summit save time and money?

Helios has helped us get our Onboarding in order. Previous to Helios, we were using a Google spreadsheet, shared between a few people, and just not having the best time with it.

Helios connected us to our Greenhouse and TriNet API to automatically pull in and create new profiles for New Hires to upload all their documents and info. That was a huge time lift off our shoulders.

 

Q: How would you describe your average HR life before Helios?

It was terribly disorganized. Whereas now, that Onboarding process with Helios centralized the process on the new hire and has been a considerable help.

 

Q: Where do you save the most time with Helios?

Tracking Onboarding and Data Entry. We don’t have to retype any information from another system since it automatically goes into Helios, which also eliminates typos.

In addition to 5 to 6 hours per week saved in Onboarding, we also save 3 to 5 hours per week with Credential tracking.

 

Q: How do you save money using Helios?

Before Helios, the workload was unsustainable for our HR department. The TIME saved is MONEY saved when we think of the turnover that has been decreased (a savings of $40,000 per year!). We also no longer need to hire additional, seasonal help, thanks to the automatic workflows of Helios taking care of those tasks.

 

Q: What do you enjoy the most about Helios?

The customer service is on-point with it’s quick turn-around time. We love that it’s all virtually accessible. The automated workflows help us stay on track, too.
